The Human Resources Coordinator provides administrative support to the Human Resources Department daily operations. Mainly works within a framework of established HR processes, procedures and standard work instructions as determined by the HR Department and applicable legislations.
Position responsibilities:
- Responsible for beginning to end exit process for leavers: ensure exit procedure is properly completed (relevant paperwork prepared, inform payroll team on a timely manner)
- Absences and leaves: answer related queries; administer employees leave and attendance, ensure all information and required supporting documentation are submitted to payroll team on a timely manner
- Learn and assist with employees relocations and international transfers processes
- Learn and assist with immigration and work permit visa applications
- Learn and assist with maternity, parental and paternity leave processes
- Be on the HR mailing distribution list and be the first point of contact to answer employees queries
- Administer and process employees benefits such as pension, life and medical insurances, meal cards
- Provide support and assistance with Onboarding processes when required, including preparing or requesting employment contracts and other necessary documents
- Prepare various documents (agreements, addendums, reference letters, etc.)
- Keep soft and hard employee files up-to-date
- Ensure employee data are kept updated on the HRIS (i.e. Workday) and produce relevant reports
- Educate managers and employees with HRIS (i.e. Workday) usage
- Provide support and assistance in international HR projects
- Perform HR administration and operational support to the HR Departments in different locations
- Complete all other tasks that are deemed appropriate for the role and assigned by the manager / supervisor
Essential skills and experience required:
- Minimum 1-year administrative experience, preferably with Human Resources
- Minimum Bachelors degree or its equivalent, preferably with Human Resources focus
- Good knowledge of MS Office (specifically Excel)
- Excellent communication skills in English and Italian (written and verbal)
- Ability to maintain professionalism in all situations
- Ability to handle sensitive information in a confidential manner
- Attention to detail and problem-solving competencies
- Ability to work effectively across organizational boundaries
- Positive attitude, resiliency, and the ability to produce high quality and volume at a fast pace
- Maintain flexibility to take on additional responsibilities, as needed
- Working knowledge with a HRIS (Workday)
