DESCRIPTION
Responsibilities:
- Ensure internal coordination of specific activities within the BHD (unit/service) at a level beyond standard organizational tasks typically managed by the supervisor.
- Act as a strategic figure with a comprehensive analytical overview of past and current issues, adopting a proactive approach and dynamic collaboration with Building Managers, the team, contract managers, contractors, and BHD colleagues.
- Serve as the main contact for the European Parliament (EP) for all matters related to data and information management and communication. Also, act as the primary interface with other services.
- Become familiar with and ensure the proper implementation of EP and BHD procedures, promptly informing all relevant parties.
- Create and maintain a data sheet based on a calendar, allowing for the scheduling of various seasonal changes in each building. Ensure that the entire BHD staff uses these data sheets correctly.
- Implement several measures to improve service quality and efficiency, including but not limited to:
- Ensuring all open requests are monitored by contractors and insist on receiving feedback;
- Analyzing similar interventions, identifying trends, and verifying whether further actions are required;
- Identifying weaknesses or inaccuracies and proposing improvement solutions;
- Analyzing historical data using a reliable forecasting algorithm (with IT support) to generate accurate predictions;
- Identifying and resolving issues proactively before users encounter difficulties using the problem management module;
- Announcing recorded incidents to avoid ticket duplication;
- Ensuring specific follow-up on critical tasks and high-priority requests;
- Analyzing incoming requests, maintaining a database of similar and recurring issues, and drafting template documents or pre-recorded responses to assist dispatchers in their daily tasks;
- Identifying risks associated with potentially recurring incidents;
- Assessing information received from various sources.
Profile:
- Bachelors degree in Operations Management or a similar field;
- Strong conceptual and cross-functional thinking;
- Ability to act independently, make decisions, identify improvement opportunities, and propose feasible solutions;
- Ability to understand and integrate data, gather information creatively, and draw conclusions;
- Ability to transform ideas into clear objectives that account for changing situations;
- Ability to monitor progress against objectives and take necessary corrective actions;
- Strong communication skills, with the ability to give clear instructions, ask specific questions, and provide constructive feedback effectively;
- Capability to handle problems effectively;
- Ability to translate strategies into operational objectives;
- Manage, involve, and support a small team of 10 people that has been in place for at least 5 years while remaining aware of organizational issues;
- Capacity to work as a team and pool skills to achieve objectives and resolve problems.
Concrete examples confirming at least the last two mentioned skills or experience in a similar role are required.
Additional Information:
- The coordinator will work closely with the supervisor.
- No night shifts, weekends, or public holidays work, except in exceptional cases.
