We explicitly seek applications from those who self-identify as coming from historically marginalized populations to enrich and elevate our equity-centered approach to problem-solving.ABOUT THE ROLE:The Programs & Quality Assurance Coordinator works under the supervision of the Chief Program Officer (CPO) and provides support. The Programs & Quality Assurance Coordinator supports the CPO and Directors with a variety of administrative tasks, including but not limited to managing calendars, creating purchase orders and expense requests, corresponding with staff and external stakeholders, and planning meetings and events. To be successful in this role, you should be well-organized, have excellent time management skills, and the ability to work independently with minimal supervision.WHAT YOULL DO:A wide range of administrative tasks to support the CPO, Directors, and SPY workgroupsLead agency in standardizing charting systems,Create and lead quarterly peer chart auditsWork closely with programs leadership team to standardize charting systems and build structure to assure consistent, high quality documentationLead Performance and Quality Improvement meeting monthly and support program leaders in creating appropriate goals and generating cross-department feedback through training, content review, and appropriate deadlinesProvide administrative support and coordination for CPO and DirectorsResearch, compile, prepare and review documentationSupport routing referrals from outside partnersManage CPOs email and calendarConduct onsite and offsite assignments, coordination and purchasesPrepare meeting agendas and materials, and take meeting minutesPrepare PowerPoint and/or Canva presentationsSupport Directors with credit card reconciliation and create check requestsSupport with event coordinationAssist with preparing communication materialsServe as an ambassador of the organization and operate with a high degree of professionalismPerform administrative work such as scanning, filing, making copies, entering data, etc.Support CPO with special projects as assignedAttend meetings and events on behalf of the CPOMaintain professionalism and strict confidentiality with all materials, and exercise discretionSupport administrative onboarding support including making keys, ordering phones, and business cardsSupporting Programs with with office supply ordering and needs coordinationWork closely with Development team for donation support and tracking as neededAdditional duties as assigned to support the organizations missionRequirementsWHAT YOULL NEED:Bachelor''s Degree in Business Administration, Develpment, or any related field is preferred.High Diploma is required.1-2 years of administrative experience is required.1-2 years of quality assurance experience is preferred.1-2 years of experience working in a non-profit is preferred.An uncompromising sense of integrity and ethics, discretion and confidentialityTrustworthy, reliable, able to work independently and exercise good judgmentAbility to establish and maintain cooperative and effective working relationships with othersExcellent knowledge of Microsoft Suite and Google Suite; knowledge of Slack, Asana, DocuSign, Zoom and GoToConnect preferredStrong analytical and organization skillsExcellent time management skills with a proven ability to meet deadlinesStrong initiative and leadership skillsAbility to communicate effectively in verbal and written formatsStrong project management, organizational, and administrative skillsCultural humilityFlexibilityExceptional attention to detailValid CA Drivers license, pers
