We are looking for an organized and proactive
Talks Coordinator and Project Manager
to join our team on a temporary basis from
July 1st December 31st, 2025.
In this role, you will support the planning, coordination, and delivery of Art Basel''s talks programs, ensuring smooth execution from concept to completion. You will work closely with the Executive Editor, manage all practical aspects of the conception and delivery of Art Basels talks program in Paris and Miami BeachOversee all aspects of the physical and digital execution of the programs (including, but not limited to AV requirements, furniture, speaker presentations, film production, catering, and any other operational needs)Together with the Executive Editor and the Partnerships team, manage speaker invitations and outreachSupervise speaker accommodation and travel as requiredTogether with the Editorial team and the Partnerships team, devise promotional strategy for talks program including social media, newsletters, websiteWrite, edit and upload talks-related copy (promotional/organizational) for the Art Basel website,Write newsletter copy, manage newsletter process with newsletter teamLiaise with Social Media team, align on posts and strategy, provide assets and copy if neededReview and keep all templates / practical guidelines (AV, comms, credits, website style guide, collaborations etc) updatedManage the talks program budget as requiredBrief and manage the onsite hostsLiaise with AV company to make recordings available swiftly after the eventsReview all closed captions of recordings in English and FrenchManage archiving and post-event communication
Your profile:
Bachelors or Masters degree in Arts or a related fieldMinimum of 3 years experience in the art sector, ideally with a focus on coordinating talks programs, symposia, or conferences within an art world contextProficiency in managing web content within a custom Content Management System (CMS)Solid understanding of finance processes, including budget planning and trackingExcellent copywriting and editing skills, with the ability to maintain journalistic quality while aligning with brand voice and style guidelinesStrong communication and organizational skills; a collaborative team playerProven ability to meet tight deadlines and perform well under pressureFlexibility to work during international art fairsWillingness and availability to travel to Art Basel fairs, for periods of up to 9 days at a timeFluency in both French and EnglishLegal authorization to work in France
