Job Overview
We are looking for a motivated and detail-oriented Coordinator to support our events in delivering exclusive, high-standard experiences for our guests. This is a fully office-based role, focused on the logistics, administration, and coordination behind the scenes. The selected candidate will not be responsible for direct guest interaction but will play a key role in the internal preparation and communication that ensures each event runs smoothly and reflects our high standards.
Main tasks and responsibilities:
- Coordinate and document all preparatory steps of events, including internal planning meetings, scheduling, and logistical arrangements.
- Draft timelines, checklists, and reports to support event execution and ensure alignment with company standards.
- Liaise with internal departments (F&B, Housekeeping, Maintenance, etc.) to distribute and follow up on event requirements and schedules.
- Maintain constant communication with suppliers and vendors to ensure timely deliveries and service alignment.
- Support inventory checks and material requests in preparation for events.
- Prepare event documentation and assist with internal presentations and reports for management.
- Ensure all administrative processes follow internal procedures and deadlines.
- Maintain digital and physical records related to each event.
- Follow standard operating procedures and contribute to continuous improvement of event planning workflows.
- Assist in coordinating staff briefings and internal training related to event operations.
- Monitor internal progress of activities and flag potential operational gaps.
Skills and competences required:
- Prior experience in event coordination, administration, or office-based planningideally in the hospitality or luxury sector.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills in both English and Italian (a third language is a plus).
- Proficient in Microsoft Office Suite, especially Excel and PowerPoint.
- Ability to work independently and manage multiple deadlines.
- High attention to detail, confidentiality, and a proactive work approach.
- Strong sense of teamwork and interdepartmental coordination.
