About the Role
Quantum is looking for a meticulous and proactive Finance and Compliance Associate to fully own and operate the financial functions of the business. Based in Madrid, you will be responsible for finance, payroll, tax, compliance, and internal administration across Spain, the UK, and the US, with additional regions expected as we grow.
This is a highly trusted and hands-on role that will see you overseeing everything from payments and VAT registration to payroll, contract management, and budget forecasting. Youll play a pivotal role in keeping our finance operations smooth, and compliant.
Key Responsibilities:
Global Finance, Tax & Payroll Oversight
- Manage all financial operations across Spain, the UK, and the US
- Oversee payroll processing in each jurisdiction, ensuring timely, accurate, and compliant execution
- Register and manage VAT and tax obligations globally, in collaboration with external advisors
- Handle all company payments, including supplier invoices, employee expenses, and recurring bills
- Reconcile bank accounts across entities and maintain accurate financial records
- Liaise with banks across jurisdictions and manage cash flow movements between accounts
- Build and monitor monthly budgets and forecasts, flagging variances and assisting in financial planning
- Support investor updates, audit preparation, and executive financial reporting
- Coordinate all filings and work with local accounting firms to maintain compliance in each region
Policy Development & Financial Governance
- Develop and maintain internal finance-related policies, including those covering expenses, reimbursements, vendor approvals, and payment controls
- Ensure policies are adapted to meet the regulatory requirements of each operating region (e.g. Spain, UK, US)
- Educate internal teams on financial procedures and enforce adherence to controls and approval workflows
- Identify gaps or inefficiencies in financial processes and recommend improvements
- Support internal audit preparation and policy reviews for external stakeholders
- Maintain policy documentation in collaboration with legal and administrative colleagues
Compliance
- Legal document management (vendor contracts, NDAs, employee paperwork)
- Compliance management (GDPR basics, internal audits, risk registers, insurance renewals)
- Maintain and update a compliance ownership matrix across all departments
- Track key company obligations (e.g. annual filings, insurance renewals, employee contracts)
- Monitor and maintain signed employee and contractor agreements
- Assist in coordinating GDPR compliance tasks, including data handling documentation and internal policy rollouts
- Help maintain a company risk register and ensure internal policy sign-offs are completed
- Assist the Head of Corporate Administration to track and renew all necessary company registrations, insurances, and licences on time (UK, Spain, US)
Admin
- Manage the daily administrative needs of the Madrid office
- Act as a go-to person for internal queries relating to finance or compliance
- Assist the Head of Corporate Administration with ad-hoc duties
About You
- Bachelors degree in Finance, Accounting, Business Administration, or a related field
- Qualified or part-qualified accountant (e.g. ACCA, ACA, CIMA, or Spanish equivalent)
- 5 years experience in finance, payroll, accounting, or compliance rolesideally across multiple jurisdictions
- Fluent in English
- Strong understanding of VAT, payroll, and multinational financial compliance
- Skilled in budget planning, financial forecasting, and cash flow reporting
- Proficient in tools such as QuickBooks and Microsoft 365
- Highly organised, independent, and detail-oriented, with a discreet approach to sensitive data
Nice to have
- Experience with UK, US, or Spanish financial and payroll systems
- Background in a startup, scale-up, or international business
- Familiarity with Revolut, Monday.com, DocuSign, or other tools used in finance and operations
