Profile:
- Prior experience as a personal assistant, preferably in a law firm, is a strong asset.
- You hold a degree in administration or a similar field, obtained in Belgium.
- French speaker with excellent command of English; Dutch is a plus.
- Strong organizational, analytical, and interpersonal skills.
- High level of accuracy, attention to detail, and discretion.
- Positive attitude and strong team spirit.
Main Responsibilities:
Administrative and File Management:
- Maintain and update client files and contact databases.
- Ensure accuracy and completeness of billing data.
- Digitalize, close, and archive files in line with internal procedures.
- Promote effective use of internal tools and systems.
Support to Lawyers:
- Manage calendars, task lists, deadlines, and reminders.
- Organize travel arrangements and event registrations.
- Maintain up-to-date administrative files in line with regulatory requirements.
- Handle incoming and outgoing mail (scanning, sorting, filing).
- Prepare, revise, and translate documents (mainly French and English; occasionally Dutch).
- Conduct research and draft summaries.
- Format documents and prepare presentations.
- Draft and follow up on proposals.
Team Support:
- Act as a point of contact for the team.
- Answer calls and emails, respond to inquiries or redirect as needed.
- Organize meetings, lunches, and internal team events.
- Provide general administrative support as required.
