Position: FRONT OFFICE MANAGER Location: Hotel ViolinodOro, Venice (Member of Leading Hotels of the World) JobDescription The front office manager directly supervises all frontoffice personnel and ensures proper completion of all front officeduties. He Directs and coordinates the activities of the frontdesk, reservations, guest services, and telephone areas. He Preparemonthly reports and budget for the front office department,cooperate with admin office concerning all the invoicing,commission etc. Responsibilities: - Verifies that accurate roomstatus information is maintained and properly communicated. -Resolves guest problems quickly, efficiently, and courteously. -Updates group information. Maintains, monitors, and prepares grouprequirements. Relays information to appropriate personnel. -Reviews and completes credit limit report. - Trains, crosstrains,and retrains all front office personnel. Participates in theselection of front office personnel. - Checks cashiers in and outand verifies banks and deposits at the end of each shift. -Enforces all cash handling, check-cashing, and credit policies. -Conducts regularly scheduled meetings of front office personnel. -Prepare performance reports related to the front office - Maximizeroom revenue and occupancy by reviewing status daily. Analyse ratevariance, monitor credit reports and maintain close observation ofdaily house count. Monitor the selling status of the house daily.Ie flash report, allowance etc, - Monitor high-balance guests andtake appropriate action. - Ensure implementation of all hotelpolicies and house rules. - Operate all aspects of the Front Officecomputer system, including software maintenance, report generationand analysis, and simple configuration changes. - Prepare revenueand occupancy forecasting. - Ensure logging and delivery of allmessages, packages, and mail in a timely and professional manner. -Ensure that employees are, at all times, attentive, friendly,helpful and courteous to all guests managers and other employees. -Monitor all V.I.P.s special guests and requests. - Maintain therequired pars level of all front office and stationery supplies. -Review daily front office work and activity reports generated byNight Audit. - Successfully manage stress, anxiety, and pressureassociated with tight deadlines, heavy workload, and hotelemergency situations. - Review Front office log book and Guestfeedback forms on a daily basis. - Maintain an organized andcomprehensive filing system with documentation of purchases,vouchering, schedules, forecasts, reports and tracking logs. -Perform other duties as requested by management. - Ensures that allteam members clearly understand their job roles, responsibilities,and performance expectations. Gives constructive feedback to teammembers to assist them in their overall job performance. -Understanding the operations of other departments: Sales,Housekeeping, and Engineering Requirements and Skills - Minimum of3 year of hotel front desk supervisory experience in 5-star luxuryhotels - Experience handling cash requested , as per accountingprocedures, and general administrative tasks - Italian &English fluent; one additional language is mandatory. - Excellentcommunication and customer service skills. - Attention to detailand the ability to work in a fast-paced environment.
