Administrative Assistant
About the jobWe are seeking a highly motivated and experienced Administrative Assistant to join our Administration Department in Epalinges, in a full-time position. You will report directly to the Chief Operating Officer and play a key role in supporting the administrative needs of our executive team and contributing to the development of our administrative infrastructure.
Primary Responsibilities:- Provide high-level administrative support to the CEO, the COO and other senior executives, including calendar management, travel arrangements, meeting coordination, and expense reporting.
- Manage relationships with insurance providers and ensure compliance with insurance contracts.
- Provide support for accounting and banking operations, including invoice processing, expense tracking, and vendor management.
- Collaborate with the Administrative Team on general administrative tasks, such as office management, supply ordering, and event planning.
- Handle sensitive and confidential information with discretion and professionalism.
Requirements:Obligatory:- A CFC of employ.e de commerce, ideally profil M or HEG diploma
- At least 5 years of professional experience in a similar role, preferably supporting senior executives
- Fluency in English mandatory and French is a plus (written and spoken)
- Strong proficiency in Microsoft Office and Google Suites
- Excellent organizational, communication, and interpersonal skills
- Ability to work independently and as part of a team in a fast-paced environment
- High attention to detail and accuracy
- Proactive problem-solving skills
A strong plus:- Experience working in a biotechnology or pharmaceutical company
- Familiarity with US company operations
A plus:- Knowledge of Swiss HR, insurance, and accounting regulations
- Experience with ERP systems, particularly Odoo
