Your role The Student Department (SEVE) is the reference point for all essential information related to the university journey. It supports students in various aspects of their student life, including study programs, housing, health, well-being and inclusion, associative engagement, as well as sports activities. SEVE also provides information on internships and employment opportunities. We are looking for a proactive, motivated and conscientious Student Officer. The recruited employee will be expected to provide highly responsible and professional services by handling administrative and organizational activities. Role: Allocation of university accommodation (1000+ rooms) according to eligibility criteria. Need to ensure a reliable, auditable and fair process Management of arrivals and departures in university residences, handling high volumes efficiently (hundreds of requests) Following-up cleaning, claims and coordinating maintenance work in university residences Monitoring payments and managing reinvoicing with accuracy Conducting ad hoc analyses (availability, occupancy rate, debts) to support decision-making Monitoring, documenting, and communicating key information related to rental contract management Managing complex operations such as resolving complaints and disputes in a residential environment Overseeing the implementation and continuous improvement of features in Planon, ensuring regular contact with the service provider Handling general communication tasks, including managing phone calls, emails, website updates, and updating information in the Planon tool (software used for accommodation management) Your profile Master''s degree (Business School, Finance, or related field) or equivalent by strong working experience in coordination and financial management At least 4 years of proven experience in a similar role, preferably in accommodation services or a high-demand administrative function Strong managerial and organizational skills, with the ability to handle pressure Proficient communication skills both in English and French (spoken and written); German is a plus High proficiency in standard IT tools, especially Excel and familiarity with property management systems (e.g., Planon) is an advantage Must-have: rigor, ability to take initiative, and problem-solving mindset Strong ability to adapt to a multicultural and multilingual environment Flexibility and resilience in a demanding and fast-paced academic setting We offer Multilingual and international character.
