As the Corporate Events Trainee, you will support the Corporate Events management team in organising meetings and events in Lausanne.
Main responsibilities:
- Coordinate daily business booking requests for various event-related services such as meeting rooms, AV, catering, transport, accreditation, and accommodation.
- Follow up on allocated event projects with the Corporate Events Manager and client coordinator, including planning, on-site execution, and tear-down.
- Support arrangements related to trips, hospitality, accommodation, and accreditation for Olympic family members and IOC guests in Lausanne, liaising with partners like hoteliers, congress centres, marketing companies, sponsors, and local authorities.
- Perform administrative tasks including data entry, contracting, invoice validation, correspondence, and filing.
- Assist with setting up meeting rooms, managing room arrangements, seating, and technical facilities.
- Coordinate meals, receptions, and other event activities, including menu selection, guest lists, invitations, mail shots, and welcome packs.
Eligibility criteria:
- Recent graduate or trainee from a hotel school or equivalent, or experience in international events.
- Excellent command of English and French (bilingual preferred); additional languages are a plus.
- Experience managing workflows and communication within a team.
- Proficiency in Word, Excel, PowerPoint, Outlook, internet, and event-related IT solutions.
- Ability to handle stressful situations with speed and accuracy.
- Strong sense of urgency, priorities, and service orientation.
- Initiative-taking ability and awareness of activities and needs.
- Excellent organisational and communication skills, and being a well-rounded team player.
- Flexibility regarding working hours.
- Interest in sports events and international news.
