We are currently looking for an enthusiastic Team Assistant to join our international team!
Based in our company''s headquarters offices in Ghent, you will
- Assist our global management team.
- Be the point of contact for the team in organizing and coordinating meetings, events, appointments, and travel arrangements.
- Coordinate activities between departments and external parties.
- Research and book travel accommodations, ensuring cost-effectiveness and adherence to company policies.
- Develop and maintain a calendar of company events and ensure timely communication to all stakeholders.
- Prepare and edit correspondence, communications, presentations, and other documents as required to facilitate effective communication an collaboration between management and staff.
- Assist with special projects and initiatives led by the management team.
- (Ghent) office and facility support.
- Ensure a clean, professional, and welcoming office environment. Manage the daily operations of the facility, including coordination of maintenance and cleaning services.
- Perform general administrative duties such as answering phones, responding to emails, greeting visitors.
- Manage office supplies inventory, order new supplies when necessary, and ensure the office is well-organized.
- Coordinate the organization of office events and weekly lunches.
Is this you?
- Bachelors degree in Business Administration or related field.
- 5+ years of experience in a similar role.
- Fluency in English and Dutch. Additional languages are a plus.
- Excellent organizational and time-management skills.
- Flexibility to adapt to changing priorities and work demands.
- Strong verbal and written communication abilities.
- Proficiency in MS Office and other relevant software (e.g., travel booking platforms).
- Work independently and prioritize tasks effectively.
- Strong attention to detail and problem-solving skills.
