Job Summary: The Admin Assistant Manager Europe is responsible for support in managing the company's car leasing program, ensuring the efficient operation of leased vehicles across Europe. This role involves Coordinating the selection, acquisition, maintenance, and disposal of leased vehicles, managing leasing contracts, ensuring compliance with all applicable regulations. Corporate cell phone management, hotel bookings, and general administrative logistics across Europe. Key Responsibilities: 1. Employee Car Lease Management Coordinate end-to-end process of company-provided car lease programs across European countries. Coordinate new lease contracts in compliance with local regulations and company policies. Liaise with lease vendors and employees for onboarding, renewals, terminations, and extensions. Handle all aspects of insurance management, including renewals and claims/disputes through lease vendors. Maintain accurate lease data, budgets, and reports for internal tracking and audits. 2. Vendor Management Support in Identifying, onboarding, and managing relationships with external vendors and service providers. Support in negotiating contracts, service-level agreements, and ensure vendor compliance. Monitor vendor performance and coordinate regular reviews and report key performance indicators to the department head. 3. Company Cell Phone Management Coordinate procurement and distribution of cell phone device Coordinate distribution, activation, replacement of sim cards. Support in managing contracts and plans with telecom providers to optimize cost and service. Provide support for employee queries and device troubleshooting. 4. Hotel Event Bookings Plan and coordinate hotel accommodations, and meeting/event logistics across European regions. Manage preferred vendor relationships for hospitality. 5. Vendor Payments Management Coordinate with Finance to ensure timely processing of vendor invoices. Track payment schedules, resolve invoice discrepancies, and maintain accurate payment records. 6. Employee Interaction Support Serve as a point of contact for employee queries related to administrative services. Provide clear and timely communication to employees regarding lease, phone, and travel processes. Resolve employee issues/disputes effectively and professionally. 7. Administrative Logistics Support daily administrative tasks for European offices. Assist in implementing standardized administrative processes across countries. Requirements: ~ Bachelors degree in Business Administration, Operations, or a related field. ~4+ years of experience in administrative or operational roles, preferably in a multinational environment. ~ Strong knowledge of European vendor and regulatory environments. ~ Excellent communication skills in English; additional European languages are a plus. ~ Proficient in MS Office Suite and administrative tools (e.G., SAP, Concur, or similar). ~ Strong organizational and multitasking abilities. ~ Problem-solving mindset with attention to detail. Skills: Analytical skills for tracking fleet performance and cost management. Ability to communicate effectively with employees, various departments, leasing companies, and service providers. German, French Italian language will be preferred languages the resource should be able to communicate (Multiple European languages will be added advantage). Proficient in Microsoft Office Suite and fleet management software.
