Job Summary The Administrative & ProcurementCoordinator will be responsible for managing purchasing activities,ensuring compliance with EDGE procedures, handling logistics andexport documentation, maintaining inventory, and coordinating alladministrative tasks of the company. Additionally, this role willcoordinate HR and accounting activities in coordination with theItalian HR and accounting firm, as well as the related functionswithin EDGE P&S cluster, to support PowerTechs operations inItaly. Key responsibilities include: Key Responsibilities:Day-to-Day Administrative Tasks: - Handle office management taskssuch as ordering office supplies and maintaining administrativerecords. - Process incoming and outgoing correspondence, emails,and phone calls. - Coordinate meetings, travel arrangements, andschedules for management and staff. - Support HR activities,including employee record-keeping and communication with externalHR consultants. - Assist with accounting-related tasks such asinvoice processing and expense tracking in coordination with theaccounting firm. - Maintain an organized filing system forcontracts, financial records, and company documentation. - Act as apoint of contact for internal and external stakeholders regardingadministrative inquiries. Procurement & Supplier Management: -Execute purchasing activities in accordance with Powertech and EDGEprocedures. - Ensure timely payments to suppliers. - Identify andqualify new suppliers when needed. - Maintain relationships withexisting suppliers to ensure quality and cost efficiency. - ManageCAPEX procedures and documentation as required. Logistics &Export Compliance: - Prepare and issue transportation documents forshipments to suppliers and customers. - Manage exportdocumentation, including invoices and packing lists, for enginesand components dispatched to the UAE. - Liaise with Italian customsstaff for necessary clearances and compliance. - Overseecoordination with forwarders and carriers to ensure timely andefficient deliveries. Inventory & Waste Management: - Maintainan up-to-date inventory of materials, components, and finishedgoods. - Ensure proper disposal of special waste, adhering toregulations and company procedures. Compliance & Safety: -Follow company safety procedures and coordinate with Italian HSEconsultant for compliance matters. - Ensure adherence toenvironmental and workplace safety regulations. Qualifications& Experience: - Diploma or Bachelors degree in BusinessAdministration, Supply Chain Management, or a related field(preferred but not mandatory). - Minimum of 3 years of experiencein procurement, logistics, or administrative roles. - Experiencewith international trade regulations and export documentation is aplus. - Familiarity with Italian customs procedures and freightforwarding. Skills & Competencies: - Strong organizational andmultitasking abilities. - Excellent communication and negotiationskills. - Proficiency in Microsoft Office (Excel, Word, Outlook)and ERP systems. - Fluency in Italian and English (written andspoken) is essential. - Ability to work independently and managemultiple tasks simultaneously.
