Manpower Corporate is looking for an AdministratorSpace Cluster H/F for its client, a foundation in the field ofscientific services. Our client is dedicated to the support ofexcellent science through the provision of specialized services. Itoperates in the EU and wider European environment and collaboratewith major scientific stakeholders. The mission of the position isto provide administrative support to the day-to-day administrationof science activities as a member of the Space Cluster, to providebudgetary and expenditure control of these activities, and toprovide support for ESF information and communication activities(newsletter, publications). This position will involve: - Acting asthe administrative point of contact for all Space Clusteractivities, liaising with project partners and stakeholders such asESA, European Commission, etc. - Supporting the team in itsadministrative and project management tasks, and coordinating spacerelated project operations within the team as needed. - Organisingonline, hybrid and physical scientific meetings and events;providing administrative support for EC projects and ESA contractactivities. This will be done through advance planning and willinclude logistical on-site support. - Undertaking appropriatefinancial and budgetary control in line with Financial Rules,including Delegated Financial Authority. Verifying and controllinginvoices and claims for expenses and providing relevant informationto Finance service to allow for the timely and regular presentationof financial reports. - Liaising with IT for interfaces andprocedures for the clusters activities. - End-to-end coordinationof tasks and resources required to deliver specific projectmanagement activities as needed. - Ensuring high-qualitydocumentation for meetings is provided in an appropriate form andin a timely manner. Documentation will include draft agendas andsupporting documents, action sheets, and minutes as necessary. -Ensuring the follow-up of actions as necessary. - Maintaining andupdating relevant Web pages and providing support for informationand communication activities (newsletter, publications, webinars,etc.). - Making optimal and cost-effective travel arrangements asrequested. - Undertaking other administrative duties as necessaryand at the request of the Management. The Administrator shoulddemonstrate the following competencies: - Minimum experience of 2-5years project administration, preferably in an internationalenvironment related to space sciences. - Proven experience inorganising meetings and travels, and knowledge of officeprocedures. - Experience in EC projects administrative processesand scientific project management. - High standard of spoken andwritten English as the working language. - Good practical workingknowledge of MS Office systems (especially MS Word, Excel,PowerPoint and Web tools). - Knowledge of financial and budgetarycontrol. - Good organisational skills and capacity to deliver onallocated tasks and respond in a timely manner to deadlines. -Ability to manage priorities. - Task-orientated, responsible andautonomous, and continuously improvement-minded. - Stronginter-personal and communication qualities within a multi-nationalcontext, including discretion, diplomacy and tolerance. -Transparency in working and a team-orientated work ethic (both interms of Unit and corporate working). - Positive and constructiveattitude.
